General Terms and Conditions of Costa Rica Access Travel 2024-2025

  • Acceptance of Terms and Conditions
  • By using this website and the services provided by Costa Rica Access Travel, you agree to and undertake to comply with the following general terms and conditions.

  • Ownership
  • This website and all its content are the intellectual property of Costa Rica Access Travel or third parties who have granted permission for its use. Replicating, reproducing, commercializing, or altering the material on this page in any way without the written authorization of Costa Rica Access Travel is strictly prohibited.

  • Reservations
    • Reservations can only be made through WhatsApp Business (+506) 6326-2711, our website www.cratcr.com, or via email: reservations@cratcr.com.
    • The total payment for your itinerary or product must be made 30 days prior to the trip’s start date due to our reliance on the availability of our suppliers and their policies.
    • Reservations are not made or guaranteed until a non-refundable deposit has been received to confirm your request from our agency.
  • When booking your trip and during its planning, please do not assume the inclusion of services unless specifically detailed in the itinerary provided by our agency. If we ever mention the inclusion of a service in a previous itinerary, it will only be included in your current itinerary if clearly specified. It is essential not to presume any details without direct indication from our side. We strongly recommend contacting one of our advisors to clarify any queries. This caution is taken to safeguard your interests as a consumer and to protect both our agency and our service providers.
  • It is the customer’s responsibility to carefully review the summary of what is included in the desired itinerary and rely solely on what is written and offered. Our responsibility is to provide secure reservations for the services offered in the itinerary.

  • Payments
  • Prices are subject to change without prior notice; however, once the reservation is made, the agreed-upon price will be maintained.
  • In Costa Rica, most hotels require an upfront payment to confirm and secure bookings. Hence, a non-refundable deposit, as previously mentioned, is required to guarantee your reservation.
  • By allowing us to organize your travel plans or by making a payment, you agree to abide by our agency’s policies, terms, and conditions and acknowledge having presented these policies to all members of your travel group.
  • The tour rates are per person and include the mandatory tax by law.

  • Government Taxes
  • Our rates include current government taxes. We have no control over government regulations and cannot anticipate changes. If taxes increase between the booking and travel date, you will be responsible for covering the difference. Likewise, if taxes decrease during that period, our agency will credit that amount in your favor.

  • Private and Shared Transportation
  • Private transportation ensures exclusivity for you and your group in the vehicle, with only the driver and guide present if requested by the customer. Usually, transportation may make one or two brief stops along the route, staying on the established route unless a specific deviation is expressly requested in writing.
  • Generally, boat transfers are shared unless otherwise specified by the customer. This applies to transfers to and from Tortuguero, the Arenal to Monteverde crossing, and the ferry crossing from Paquera to Puntarenas. Even if you have private transfers during your vacation, these transfers are considered partial tours due to their logistical nature and the way they are organized.
  • If any member of your group has different arrival times, please inform us to make the necessary adjustments. In case an additional vehicle is needed, any associated extra charges will be your responsibility.
  • The private transportation included in the itinerary covers transfers to and from the airport, between different destinations, as well as to and from scheduled tours. It is not designated for other types of transfers unless specifically stated in writing.
  • The travel times we offer are estimates based on the average duration to travel between destinations and tours. We cannot guarantee the accuracy of these times as they may vary significantly due to various reasons, primarily due to weather conditions, road conditions, and traffic unpredictability.
  • Tours will have bilingual guides, although this is not guaranteed for transfers unless otherwise stated in writing. In certain cases, it is possible to request an accompanying guide for transfers for an additional cost, subject to availability and prior request.
  • All tours are shared unless explicitly specified as “private tour.” Private tours are available as long as they are previously requested and confirmed in writing.

  • Cancellations and Refunds
  • All cancellation procedures must be made in writing via WhatsApp Business (+506) 6326-2711 or by email: reservations@cratcr.com, and are subject to our terms and conditions.
  • Cancellations incur charges defined by the advance notice with which the trip or service is canceled. Generally, if the cancellation is made with sufficient notice, a partial or total refund may be possible, although charges may apply according to policies. These amounts are governed by standard cancellation policies of hotels, transport companies, and tour operators in Costa Rica and are influenced by non-refundable policies of some service providers.
  • Refunds will be processed according to our terms and conditions and may be subject to cancellation penalties, in addition to administrative fees for processing the cancellation and/or refund.
  • If, for any reason, the customer does not fully utilize the services included in the package, no refund will be made for the unused services.
  • Cancellation policies of a hotel, tour operator, or transport company may supersede our policies, integrating with those previously mentioned by our agency. This occurs because such entities are subject to changes depending on equivalent availability and value.
  • Costa Rica Access Travel reserves the right to cancel all services due to non-payment.

  • Changes and Modifications in Reservations
  • All modification or rescheduling procedures must be made in writing via WhatsApp Business (+506) 6326-2711 or by email: reservations@cratcr.com, and are subject to our terms and conditions.
  • Changes in reservations are subject to availability and may be subject to additional fees.
  • Costa Rica Access Travel reserves the right to make changes to the reservation if necessary and will offer suitable alternatives.
  • Rescheduling your vacation requires a detailed review due to the individual policies of the hotel, tour operator, and transportation company.
  • When feasible, we will accept modification requests made with more than 48 hours’ notice before the scheduled service. The only applicable fees, penalties, or restrictions will be those imposed by service providers.
  • Costa Rica Access Travel reserves the right to adjust the itinerary due to safety reasons or circumstances beyond our control, such as weather conditions, demonstrations, accidents, natural disasters, strikes, and other events.

  • Liability and Travel Insurance
  • Participants must ensure they have travel insurance covering any eventuality during the trip. We suggest seeking advice from an expert regarding suitable travel insurance.
  • Costa Rica Access Travel does not assume responsibility for injuries (including death) during transport or activities organized by our agency. By acknowledging the inherent risks of traveling, you agree to exempt us from fault or liability for possible losses during your trip. Costa Rica Access Travel is not responsible for any situation that does not directly result from the services we provide at hotels, tours, or transportation (delayed, lost, or canceled), flight delays or cancellations due to natural causes, natural disasters (flood, landslide, tornadoes, hurricanes), lightning storms, fire, theft, border closures, health problems, pandemics, and automotive issues.
  • It is the customer’s duty to provide adequate and relevant information, including flight details, health status, possible restrictions or limitations based on age, diet, height, weight, among other relevant aspects.

  • Modifications to Terms and Conditions
  • Costa Rica Access Travel reserves the right to change these terms and conditions at any time without prior notice. Such modifications will be effective once published on the agency’s website, and it is the responsibility of each user to review the policies frequently.
  • By using Costa Rica Access Travel’s services, you confirm that you have read, understood, and accepted these general terms and conditions.

  • Additional Considerations
  • If you are over 60 years old, have any health issues, or if any member of your group weighs more than 200 pounds, please inform us as this may affect tour eligibility.
  • The customer must understand that Costa Rica is located in the tropics, and during your stay, you may encounter insects and geckos, even inside hotel rooms; this does not indicate lack of cleanliness.
  • Due to the climate, we may experience power outages, telecommunications, and internet disruptions; we are not responsible for such events.

  • Complaints and Resolutions
  • If you have any concerns or complaints about any service provided by our agency, Costa Rica Access Travel, please send an email to reservations@cratcr.com. We will do our utmost to assist you in managing your refund request with the corresponding provider. We ask that you provide a detailed written description as this will be necessary to properly submit the refund request to the provider. This is a standard procedure in Costa Rica and is mandatory. Once we receive your email, we will review your situation to resolve it.
  • If your complaint is directly related to any service provided by Costa Rica Access Travel, please send an email to reservations@cratcr.com. We will be attentive to your concern and strive to resolve it as soon as possible.

  • Service Agreement
  • Once the reservation is made and all confirmations are received, we will send you a service agreement. This agreement consists of a combination of your confirmed itinerary along with the policies you accepted when booking your vacation. The main purpose is to provide convenience for both you and us, as well as to facilitate access to relevant information.
